Job Title: Executive Assistant

Location: New York, NY

Status: Full-time, non-exempt

DUTIES INCLUDE, BUT ARE NOT LIMITED TO:

  • Manage complex and ever changing business and social calendars and ensure scheduled commitments are met
  • Coordinate scheduled events, presentations and Company meetings
  • Manage intra-office information flow, ensuring timely completion of projects
  • Responsible for general office concerns, including supplies, equipment maintenance, and various needs of Executive’s Direct Reports
  • Extensive communications, both written and verbal with other departments, divisions and vendors, in terms of providing and receiving information, compiling and coordinating responses from Executive department staff
  • Ensure her deliverables and timelines are met to clients, staff
  • Handle all travel arrangements and expenses for Senior Executives
  • Draft emails, prepare expense reports, and support business operations
  • Coordinate vendor communications for the brand's events and related functions
  • Create, implement and maintain office organization system for mail, bills, magazines, business contacts
  • Arranging and coordinating appointments and reservations

 

JOB SKILLS AND REQUIREMENTS:

  • Professional Executive Assistant with 5+ years’ experience
  • Associates or Bachelor’s degree a plus
  • The ability to thrive in a fast-paced environment with an ever-changing list of priorities
  • Impeccable communication skills
  • Strong interpersonal skills
  • Proven organizational skills
  • Able to think creatively on your feet
  • Mastery of Microsoft Office with advanced Excel skills
  • Ability to handle multiple tasks simultaneously
  • Ability to prioritize, detail oriented
  • Independent, resourceful, self-discipline and takes initiative
  • Ability to handle confidential information efficiently and responsibly
  • Create, implement and maintain office organization system for mail, bills, magazines, business contacts
  • Arranging and coordinating appointments and reservations
