  • Overview: 
  • Responsible for preparation and processing of the bi-weekly US and Canada payroll. To ensure the efficient, effective and accurate payments of employees for a multi-state/provinces payroll. Maintains thorough knowledge of payroll policies and procedures.


  • Responsibilities:
  • Review and assist in all data keyed, submitted and processed within the Payroll department. Performs random audits, organize correspondence, print reports to be used in auditing of payroll, upload bonuses and timesheets etc., into payroll system, as needed.
  • Review all paperwork and timesheets for completeness and accuracy. Assure that records have required signatures and contact supervisors to resolve problems and errors.
  • Respond appropriately and provide verbal and / or written responses to inquiries from all levels of staff regarding payroll/HR processes, policies and procedure in a timely and professional manner.
  • Maintain constant confidentiality on all matters related to payroll.
  • Process manual payments/reversals, timesheets, and special payments such as bonuses, vacation, final pay, LOA’s and severance data.  
  • Interact with banks regarding manual payments, stop payments and reversals.
  • Work with unemployment vendor (Equifax) in the process of VOE’s and unemployment wage requests.    
  • Monitor the flow of data into the payroll system from other automated systems, and research and respond to tax related inquiries.
  • Work closely with Payroll vendors to assist in inquiries, audit and validations on all payroll processes.
  • Reconcile monthly payroll GL accounts for US and Canada.     
  • Review all wage and tax registers and assist management and Tax area in the quarter end and yearend processes. Aid in the process/validation of stock, imputed income, adjustments and unclaimed wages.   
  • Interact with ADP on garnishment process and assist with inquiries from branches, federal/state/local agencies as it relates to garnishment processing. Comply with laws governing the administration of garnishments and minimize risk to the business.     
  • Provide assistance to HR staff on payroll policies and procedures.     
  • Verify and audit all HR transactions submitted for processing. Ensure all transactions are consistent with policy. Contact HR regarding variances or questionable circumstances.


  • Skills & Knowledge:
  • Knowledge of HR policies, procedures and must have understanding of fundamental laws surrounding the new hire paperwork process and other fundamental tax laws.
  • Ability to solve problems through analysis and feedback.
  • Strong computer skills (MS Word, Excel) are essential along with e-mail and Internet familiarity.
  • ADP or comparable payroll software experience for a multi-state payroll.
  • Accuracy and flexibility experience in meeting deadlines and handling multi-state payrolls.
  • Overtime flexibility is mandatory.
  • Excellent communication, organizational and interpersonal skills are required.
  • Must be able to work well under strict deadlines while maintaining a high level of accuracy and confidentiality.
  • Strong attention to detail and the ability to multi-task necessary.
  • The ideal candidate will possess extensive hands on experience.
  • Must possess strong leadership skills in a team oriented environment.
