Fashion Company – Executive Assistant

Start: ASAP

End: 3 months

Located: Los Angeles

The Executive Admin is responsible for providing the highest level of support to any Senior

Level Executives. Must be a self-starter and able to take ownership of projects with a

willingness to learn all platforms and programs in the department. He/She must be

detail oriented and comfortable in a fast paced working environment. The incumbent

must hold a strong relationship with all business partners; maintain a high level of

professionalism, personal standard behavior and appearance. The highest level of

confidentiality is required in the role.

Job Responsibilities:

Essential Duties and Responsibilities included, but are not limited to the following:

• Greeting all guests

• Conference Room Management

• Manage calendar and phone for Executive Office. This may include setting up

meetings for anyone needing to meet with the executive, managing email,

distribution lists, group mailings.

• Extensive booking of travel arrangements including – flights, hotels, cars,

reservations, etc. (both domestic and international). Must make sure schedule

accommodates the executive’s desired preferences if possible, itinerary

requirements such as times to arrive or depart, critical meetings, early or late

check-in.

• All expense reporting and reimbursement

• Order and manage all office supplies for Executive Office (including pantry)

• Assist in planning and managing departmental events such as holiday parties,

town halls, special events

• Act as point of contact to help coordinate facility-related issues such as audio

video issues, maintenance issues, etc. This generally means knowing who to

call to submit a problem ticket.

• File and maintain all paperwork confidentially

• Experience working with Microsoft Office - Word, Excel, Outlook and PowerPoint

to complete projects

• Back up support to other Executive Assistants, helping where needed and

sharing knowledge as appropriate.

• Manage Corporate Credit Cards for Office Supplies and Office Software for the

department

• All other duties as assigned

Qualifications:

The ideal candidate must be able to work in a professional, fast-paced environment and

be willing to deal with shifting priorities.

• Must possess a positive, solution-oriented and customer-focused attitude

• Ability to handle sensitive and confidential information appropriately

• Strong Verbal and written communication skills

• Highly organized and detail oriented with ability to prioritize and multi-task

• Must have the ability to quickly learn systems, process, and procedures

• Excellent interpersonal skills with capability and desire to work within a collaborative

team

• Must be resourceful and hold strong problem-solving capabilities

• Excellent Microsoft Office (Word, PowerPoint, Excel, Outlook), GSuite (Gmail, Docs)

and computer skills
