Job Title: Freelance Associate – HR File Room & Operations
Location: Lyndhurst, NJ
Start Date: ASAP
End Date: 1/31/19
•Ensure that all paperwork is handled in a confidential and secure manner.
•Responsible to file and handle all employee paperwork such as terminations, etc.
•Participate in special projects and requests as needed.
•Time management to allow availability and flexibility to assist File Room
•Comply with work area standards by maintaining an organized work area and ensure that all paperwork is returned to the file room at the end of the day to attain employee privacy, protection and for security purposes
•Perform follow-up of missing new hire and terminated employee documents for all US and Canadian employees.
•Follow established procedure for the processing and handling of all incoming employee information, regardless of media, including but not limited to: paper, email, electronic documents, and reports. (E-faxes, E-mails, Inter-office Mail, etc)
•Assist with monitoring of company I-9 compliance by performing audits, destruction, maintenance and tracking via electronic I-9 system
•Provide phone support for employees and business partners calling into the People Operations Hotline with timely responses to all employee questions and inquiries.
•Respond, log and prioritize all inquiries.
•Obtain solutions for inquiries or route to appropriate HR partners to assure proper closure of all inquiries.
•Escalate issues to director when in jeopardy of not meeting the department’s SLA or when clients are not satisfied with service provided.
•Maintain files on terminated employees:
--Transfer terminated employee files from other locations to our files.
--Transfer terminated employee files to terminated file room.
--Archive terminated employee files as needed
--Assist with maintenance of terminated files
Skills & Knowledge:
•1+ years of clerical/administrative experience.
•Well-organized and great attention to detail required.
•Excels in juggling multiple tasks.
•Experience working with computerized databases
•Strong organizational skills
•Ability to handle employee information in a confidential and secure manner
•Experience with SAP a plus
